Guidelines for purchasing mobile phones at RU

The conditions for purchasing mobile phones are based on the relevant procurement agreements RU have made. At present TDC is our telephone operator and TDC Business is our mobile phone supplier. Roskilde University does not offer support or financing for telephony or mobile phones, not purchased within these conditions.


In connection with the purchase of a new mobile phone it is necessary to consider the type of subscription and the model of the mobile phone:

Type of subscription - Work or unlimited mobile phone?

1. A work mobile phone may only be used for matters associated with RU, and hence not for private conversations and such. In other words a work mobile may only be used at the campus in order to solve work tasks. A work mobile may be brought home e.g. when the employee is on call, seeing as it is a work necessity. According to SKAT this is the only time at which a work mobile may be brought home. In addition RU is obliged to supervise whether the work mobile is being used for private matters. 2. An unlimited mobile phone gives acces to an unlimited amount of domestic telephony and data. International telephony is limited to 1000 kr. a year. International data is not possible. The limitations are valid unless the contract of employment states otherwise. Unlimited mobile entails multimedia tax for the employee. The mobile may only be used for regular telephony, that is not as a means of payment (e.g. text messaging contests, ringtones, fundraising etc.). Click here to order an unlimited mobile phone

Model of mobile phone

Campus-IT and the Reception maintain a catalogue of eligible mobile phones. They strive to make sure that the catalogue contains an up-to-date and relevant selection of models and operating systems. The catalogue holds a wide assortment including both simple and advanced mobile phones and smartphones. The models also cover a wide range of telephone operating systems: Windows mobile, Symbian (Nokia), Sony Ericsson, Android and Apple iPhone. The choice of model is decided in a collaboration between employee and manager. The telephone should only be replaced in the case of a specific need and the introduction of a new model alone does not substantiate the replacement of a mobile. Purchase and operating costs for institutes and RUb are conducted locally. For Administration and Services the cost of purchasing is charged to Campus-IT, while the operating costs are paid locally in the departments.

Procedure for handing out the mobile phone

All mobile phones financed by Roskilde University are created in the name of RU.

When the employee and the manager have determined the type of subscription and model of the mobile, the form is filles out and signed, and handed in at the Reception. The Reception will then inform the employee that mobile and SIM-card will be ready for collection at the Reception. All mobiles purchased by RU belong to the University and must therefore be returned at resignation or at the replacement of mobile. Every change of mobile or telephone number must be notified to the Reception to ensure the correct registration at the telephone operator.

Number porting is to move a telephone number from one telephone operator to another. It is possible to move an external mobile phone number to a RU-mobile and to move a RU-mobile number to a private mobile phone, if you yourself brought the number to RU.
